Personal Data Protection
Personal data provided by the user is processed in accordance with the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data.
By browsing the emoxies.lu website and the Emoxies application, the user agrees that the Ministry of Foreign and European Affairs may collect and process personal data concerning him or her.
What data are collected on our site?
Client-side cookies are small text files used to analyse information relating to the user’s navigation (frequency of visits, duration of visits, pages viewed, and so on).
They are stored by the website in a special directory on the user’s computer. They contain the name of the server that stored it, an identifier in the form of a unique number and an expiry date. The unique identifier allows the website to recognise the user’s computer at each visit. Session cookies are deleted from the user’s computer at the end of the session. However, persistent cookies remain on the user’s computer for one month after the end of the session.
The user can decide whether the web server of this website is authorised to store cookies on his or her computer. At any time, he or she may choose to configure his or her browser options so that cookies are not accepted and stored. In addition, at any time, he or she may delete cookies that have already been stored via his or her browser.
The use of some of the website’s functionalities may be limited or deactivated if the user refuses the website’s cookies. As a result, it is recommended that the user configure his or her browser to accept cookies from the portal.
When submitting a proposal for an Emoxie, the user is asked to fill out a contact form. During this process, some data including your surname, first name and email address are collected and processed.
An asterisk is used to indicate whether the data are mandatory or optional when they are collected.
Processing associated with audience measurement
Some of the data relating to the user’s equipment and software, which cannot identify him or her, are collected during visits to the website. The only purpose of this collection is to obtain traffic statistics (browser type, resolution, approximate location, and so on) in order to provide users with the best possible experience.
Under no circumstances is the user’s complete IP address stored. Only a part of the IP address is stored to obtain aggregate statistics and under no circumstances is it possible to identify a user.
These data are stored and hosted in a solution provided by a subcontractor, which, in its capacity as a sub-contractor, is subject to the same legal obligations on data protection, for cases in which such data were to be collected in the future.
The data conservation period will not exceed the period that is required to observe developments with respect to audiences, based on changes in browsers, resolutions that are used, or other statistical data that are available.
The controller of these processing operations is the Ministry of Foreign and European Affairs that is responsible for this site.
The data collected on the emoxies.lu website and on the application and via the Emoxies application are intended exclusively for the Ministry of Foreign and European Affairs.
They may be sent to companies, such as subcontractors, that the Ministry of Foreign and European Affairs uses in order to provide services (i.e. website hosting). The Ministry of Foreign and European Affairs requires that its service providers implement strict measures in relation to confidentiality and the protection of these data. Once the processing has been performed, the information is protected under contracts that require these third parties to process this information solely in accordance with instructions provided by the Ministry of Foreign and European Affairs and the provisions of this confidentiality undertaking, by applying all appropriate security and confidentiality measures.
How we use the date that we collect
The data that we collect allow us to provide, manage, protect and improve our products and services, develop new ones, and protect both our users and ourselves. The data provided when submitting an Emoxie proposal form allow us to contact the author in the event that we have any additional questions.
The use of social networks and the services of the Ministry of Foreign and European Affairs in relation to these social networks may involve the collection or exchange of certain data between the social networks and the Ministry of Foreign and European Affairs.
We encourage users to review social network data protection policies to find out which information is collected by the social networks and may be sent to the Ministry of Foreign and European Affairs in relation to its sites and its applications, as well as the purposes for which your data may be used, including advertising purposes. The user may configure and control the access to and the confidentiality of his or her data directly on social networks. The Ministry of Foreign and European Affairs is not responsible for the use that is made of your data by social networks for their own purposes.
The Site and the application are not targeted at and are not intended for children under 16. The moderation and management policy of the website and the application does not provide for the intentional collection or storage of personal data or other information concerning any person under 16.
If you are under 16, you must not access the site or the application and must not communicate personal data to the Ministry of Foreign and European Affairs.
Security of information
The Ministry of Foreign and European Affairs takes all necessary security measures to protect itself from any unauthorised access to the data stored or any unauthorised modification, disclosure or destruction of this data. The Ministry of Foreign and European Affairs limits access to users’ personally identifiable information to employees that require this information to operate, develop or improve the services offered by the emoxies.lu website and the Emoxies application.
Right to access, modify and oppose
In accordance with the law of 8 December 1992 on the protection of privacy with regard to the processing of personal data and EU Regulation 2016/679 as of its entry into force on 25 May 2018, users have the right to access their data, to update them, and to correct or delete them by contacting the Ministry of Foreign and European Affairs at the following email address: firstname.lastname@example.org or at the following address: 9, rue du Palais de Justice L-1841 Luxembourg. They will be asked to sign their request and to provide a scanned copy of their identity card.
